One of the things people do frequently is writing letters. All the languages have different methodologies to write a letter. Probably this difference derives from cultural and historical backgrounds. Thus, you may haven’t used to the way of writing a letter in English, if you use English as a second language. This is one of the things you need to learn about English. Because if you use this language for professional purposes, you will probably have to prepare a legal document in English. Most legal documents are written in the way letters are done.

The Anatomy of a Letter in English

Before starting a letter, you should know the fundamental features of a letter. Let’s see them. Remember, an email is a letter, too.

  • The Date: It is the most significant feature of the letter. Its correct location of the date in the top right corner. If your letter is an email, it is not the thing you would be worried about.
  • A Greeting: All the letters should have a greeting per the level of intimacy like “Hello, Mr. Blah Blah”, “Dear resident,”. Even the diaries have these: “Dear Diary,”
  • The desire of the letter: This section should be clear and written like a sum up. All the things you want from the target person should be written in a close paragraph.
  • All the things wanted to be mentioned: In this section of the letter, you can write down all the things you want to include in the letter.
  • The signature of the sender: This section of the letter is you are leaving the letter to the target and sign the letter. Before the signature, the word “sincerely” is used to a friend. If the target of the letter is slight acquaintances, “yours truly” is used. If the targets are unknown people or the letter is for business purposes “yours faithfully” is used before the signature.



The Fundamental Letters That People Use All the Time

There are several letters in especially in business and education life. The people who use English as a second language should be familiar with them. To write a letter in English, this knowledge is essential.

  • Cover Letter: When you apply for a job, you write down a letter. This is a cover letter. You add your resume to prove you are well-qualified enough for the empty position. You use the cover letter to prove your value to the human resources department or your potential employer, directly. You mention your experiences, your background. The differences between a resume and a cover letter are a resume describes your whole career path, a cover letter is written more specific and the position oriented.
  • Resignation Letter: A resignation letter is written when the people officially declare their colleagues and their employer that they will no longer work for the company. In business ethics, an employee should give the resignation letter two weeks before they stop working. These letters are really short. To protect the professional attitude, the complaints are not preferred.
  • Follow-up Letter: A follow up letter is written when a person already made a contact with someone. There are two main reasons behind these letters. If someone had to do something, but it didn’t. Or to thank someone for anything to be gentle.
  • Thank You Letter: The logic behind a “thank you” letter is obvious. It is written to thank anyone for anything.
  • Letter of Complaint: Like the letter above a complaint letter’s purpose is obvious, too. It is written to forward the complaint to any executives.

  • What you should write on the Cover Letter:




You can say;

“I heard of this opportunity from…”

“As I pointed out in my resume”

“Thank you for your concern”

  • What you should write on the Letter of Resignation:

You can say;

“My experience with (someone who worked) has been valuable.”

“I’m really sure, all the colleague of mine is well-qualified enough to go on without me”

  • What you should write on the Follow-up Letter:

You can say;

“It was great to have a conversation with you about…”

“Probably you should’ve remembered me from the meeting at [the name of the hotel you met].”

“I look forward to talk with you again.

  • What you should write on your Thank you Letter:




You can say;

“It was really pleasant I have as a gift from you, thanks so much for it.”

“It was a perfect gesture like your real soul.”

“I really appreciate your behavior there.”

  • What you should write on the Letter of Complaint:

You can say;

“Something was annoying…”

“I am dissatisfied with…”

“There is an issue that needs to be solved.”

“Your institution has to overcome the following issues…”
